PMS, CRS and Channel Manager systems touch the same hotel-distribution domain but do not perform the same role. PMS manages property operations, CRS central reservation/inventory orchestration, and Channel Manager downstream channel synchronization. One vendor can provide all three while the logical boundaries still matter.

## Scenario and why it matters

If a hotel price is wrong on an OTA, the root cause can be PMS state, a CRS rule, channel mapping or downstream cache. Treating all systems as generic “reservation software” makes diagnosis much harder.

## What is a PMS?

A PMS is the core property-operations system. Reservations, room status, folio/billing and operational state can live there. From a distribution perspective, room/rate/inventory source data often originates at this layer.

## What is a CRS?

A CRS is a central reservation and distribution-control layer. In chain/group environments it can coordinate rates, inventory, restrictions and reservation rules across multiple properties and can connect to booking engines, GDSs or other channels.

## What is a Channel Manager?

A Channel Manager propagates property/CRS state to OTAs and other distribution channels. ARI push/pull, room/rate mapping, reservation delivery, stop-sell, CTA/CTD and minimum-stay restrictions become first-class concerns.

This is not the only topology. Integrated vendors can combine PMS and channel management; direct-connect models can link a CRS directly to an OTA or metasearch partner.

## Trade-offs

An integrated stack can reduce integration hops and setup time but increase vendor lock-in and failure-domain size. Best-of-breed systems provide flexibility but add mapping, ordering and reconciliation overhead.

## Failure modes

Common failures include room/rate mapping drift, out-of-order ARI, stale restrictions, duplicate reservation delivery, treating cancellation/modification as a new booking, PMS/CRS inventory disagreement and confusing transport success with business-state success.

## Observability

Track ARI lag, rejected updates, oldest pending event, mapping coverage, reservation-reconciliation drift, overbooking and source-vs-channel inventory delta.

## Production checklist

- [ ] Document PMS/CRS/Channel Manager source-of-truth boundaries.
- [ ] Version room/rate mappings.
- [ ] Make ARI ordering and retries idempotent.
- [ ] Persist reservations before acknowledgement.
- [ ] Apply modification/cancellation to an existing lifecycle.
- [ ] Run reconciliation jobs.
- [ ] Track channel-specific failure metrics.
